April 2022 Board Meeting Minutes

The Cypress HOA Board of Directors Meeting April 21,2022

President K. Schmode called the meeting to order at 1:30.

Board Members B. Keith (Treasurer) and D. Theobald (Secretary) were in attendance along with S. Graves (Community Manager).

Treasurer B. Keith mad a motion to approve the agenda and the meeting minutes from March 16, 2022. Secretary D. Theobald seconded the motion.

Presentation of Reports

Treasurer Report was presented by B. Keith

-         Annual meeting review

Management Report

-         S. Graves did submit a list for review of things completed over the last month. Please see attached.

-         Review of the meeting with COMO and SBFPD was discussed.

-         Review of the social events submitted by B. Bollmeier (Social

Liaison). This will be evaluated after each event by survey to help determine events moving forward.

-         Management did request a switch in vendors for the fire suppression system.  This was approved unanimously.

     -     Management did recently complete the annual employee reviews.  A salary  

           increase was requested for Russ and Jan.           

           Treasurer B. Keith made a motion to approve, and it was seconded by D.

           Theobald. The increase will take place as of May 1st.       

-         The Board did discuss and approve the following

1. Under attachment 13- Rules and Regulations. Pg 3, 8.

    The word cooler will be removed.

    8. Pets, Barbecue Grills. Pets and grills are not permitted in the pool area.

2. The pool temperature will be set at 85 instead of 83 this summer.

3. Dock Amendment. Any alterations to the docks including but not limited      to dock, lift boxes, paddle board hanger etc. must be approved 

 by the Board.

B. Keith made a motion to approve, and it was seconded by D. Theobald.

     - AmFam/O’Connor review of claim

     - Gate options are still being discussed.

President K. Schmode adjourned the meeting at 3:00 pm.

The Annual meeting is set for May 28th at 9:00.

The next HOA Board Meeting is set for June 24th at 1:30pm.

Management Review from March-April

1. Gym equipment (Fitness Trainer) has been delivered.

2. New mats ordered and received for the pool house area and P1 & P2.

3. Power washing has been completed on all floors. The staff will continue to work on this.

4. Cabanas have been dry cleaned-delay in putting them up due to high winds.

   - Pool area has been power washed. All furniture cleaned.

   - New grill and accessories replacement ordered- Delivery Jeff City May 2nd.

   - I am working with the new pool vendor on pool needs. Further discussion will be needed.

     The pool will be opened the first week of May and the heat will be on closer to Memorial

     Day. All furniture will be in place then.

5. Mulch delivery.

6. Corner Guards have been placed on all floors.

7. Meeting with SBFPD. This will be reviewed in the Board Mtg. *building/dock

8. COMO Meeting. Things we are working on

                                   -Gym hook up issues

                                   - The 4 dedicated phone lines vs cellular data lines (quote from Midwest)

                                   -  Majestic Pool meter location

                                   - options for EV charging – this has been discussed with Bennet Electric

                                      Possible tax credit.

                                   - Our current COMO contract expires 2023- Budget expense

9. Elevator State Inspection and 5 yr. full load testing completed

10. Superior Irrigation Warranty Maintenance completed (landscaping lights) 5 yr. warranty

11. Water flow required testing is scheld. for the beginning of May.

12. Ballard’s to help with EIFS damage have been ordered for area by the dumpster.

Vendors Interviewed and possible switch over- this will be discussed in the April meeting.

-          Sprinkler / Fire Suppression System

-          Alarm monitoring system

-          New Pool Vendor as of Nov. 2021.

13.The 16th phasing document have been filed with Camden County. This will be updated    again after the closing of 10A. Cypress slips are listed as LCE’s so this will need to be updated with the County after any exchange of slip between Cypress owners.

14. Meeting with All Com Digital regarding gate options and other services available for the association. This will be discussed at the meeting.

15. Fire extinguisher building evaluation scheld. April 20th /Bid requested

16. Employee evaluations completed by management.
